1. Introduction

Welcome to The Retreat Guesthouse! By accessing or using our website, services, and facilities, you agree to comply with and be bound by the following Terms and Conditions, which, together with our Privacy Policy, govern your use of our services. Please read these terms carefully, as they contain important information regarding your legal rights and obligations.

2. Booking and Reservation Policy

  • Payment Methods: We accept EFT, cash, and credit/debit cards. Online payments can be made through our secure website. For in-person payments, a physical card must be presented at check-in. We do not accept virtual or online business cards.
  • Confirmation of Booking: Your booking is confirmed once payment is received in full. You will receive an email with booking details. Should there be any issues with the payment process, please contact us immediately to avoid cancellation of your booking.
  • Check-in and Check-out: Check-in is from 14:00, and check-out is by 10:00. Late check-out may incur additional charges and is subject to availability.

3. Cancellation and Refund Policy

  • Standard Cancellation: Full refunds are available for cancellations made at least 7 days before your scheduled check-in date. Any cancellation made within 7 days will result in no refund unless the room is rebooked.
  • High-Demand Periods: During peak periods or events, prepayment is required. Cancellations made during these periods are non-refundable.
  • Refund Policy: Refunds for cancellations made one day before arrival will be issued only if the room can be rebooked.

4. Right to Refuse Service

  • The Retreat Guesthouse reserves the right to refuse service to any guest at our discretion. This includes but is not limited to instances where:
    • Payment is not received upon arrival.
    • Guests engage in disruptive behavior or violate house rules.
    • Guests display discriminatory or inappropriate behavior toward staff or other guests.
  • We reserve the right to escort guests off the property should such behavior occur.

5. No-Smoking and No-Hubbly Bubblies Policy

  • Non-Smoking Rooms: All rooms are non-smoking. Smoking is strictly prohibited inside the rooms. Designated smoking areas are available outside. Smoking in the rooms will incur additional cleaning fees.
  • No Hubbly Bubblies (Hookahs): For the comfort of other guests, the use of hubbly bubblies (hookahs) is not allowed anywhere on the property.

6. Quiet Hours and Noise Policy

  • Guests are asked to respect the peace and quiet of the guesthouse. Quiet hours are enforced from 22:00 to 07:00. No loud music or disruptive activities are permitted during this time.

7. Facilities Use

  • Swimming Pool: Use of the swimming pool is at your own risk. Children must be supervised by an adult at all times. The Retreat Guesthouse will not be held liable for any accidents or injuries occurring in or around the pool area.
  • Parking: One car per room is allowed. Guests are required to park in their designated parking bay. The Retreat Guesthouse is not responsible for any damage to or theft of vehicles on the property.
  • Secure Safe: Each room is equipped with a secure safe for the safekeeping of personal belongings. We encourage guests to store valuables in the safe provided. The Retreat Guesthouse will not be held responsible for any loss or theft of personal items.
  • Alcohol: Alcohol may be consumed in your room or in the designated Lapa area. We ask that guests drink responsibly and respect the comfort of others.

8. Pets Policy

  • No Pets Allowed: While we love animals, pets are not allowed on the property to ensure the comfort and safety of all guests.
  • Pets on Property: Please note that there are friendly pets residing on the property. If you have allergies or concerns, please inform us before booking.

9. Liability for Damages

  • Guest Liability: Guests are responsible for any damages caused to the property, including but not limited to furnishings, fixtures, or any other part of the guesthouse. Should damages occur, the cost of repairs or replacements will be charged to the responsible guest.
  • Damage Reporting: Guests are required to report any damages or issues in their room or common areas as soon as they are discovered.

10. Personal Belongings

  • The Retreat Guesthouse is not responsible for the loss, theft, or damage of any personal belongings, whether inside the guesthouse, in parking areas, or during the use of facilities. Please use the in-room safes for your valuables.

11. Additional Guests and Visitors

  • Only registered guests are allowed to stay in the rooms. Visitors are not permitted unless approved by management in advance.

12. Force Majeure

  • The Retreat Guesthouse is not liable for any failure to perform its obligations due to causes beyond its control, including but not limited to natural disasters, pandemics, government restrictions, or any other unforeseeable events (“Force Majeure”). Refunds or changes to bookings during such events are subject to management’s discretion.

13. Indemnity

  • By staying at The Retreat Guesthouse, you agree to indemnify and hold harmless the owners, employees, and any affiliated parties from any claims, liabilities, damages, or expenses (including legal fees) arising from your use of the guesthouse, facilities, or any related services.

14. POPIA and Data Protection

  • We respect your privacy and are committed to protecting your personal information in accordance with the Protection of Personal Information Act (POPIA). For details on how we collect, store, and process your data, please refer to our Privacy Policy.
  • Any personal information shared with us during the booking process will be used solely for the purpose of your stay and will not be shared with third parties without your consent.

15. Payment Terms

  • Online Payments: Secure online payments can be made via our website at the time of booking.
  • On-Site Payments: Payment can be made via EFT, cash, or physical credit/debit card upon arrival. No payment by virtual or online-only cards will be accepted.
  • Failure to Pay: If payment is not received upon arrival, The Retreat Guesthouse reserves the right to refuse access to the room or facilities.

  • The Retreat Guesthouse website may contain links to third-party websites. These links are provided for your convenience and do not signify that we endorse or have any responsibility for the content or services provided by these websites.

17. Changes to Terms and Conditions

  • The Retreat Guesthouse reserves the right to update or modify these Terms and Conditions at any time. Any changes will be communicated on our website. Continued use of our services after changes have been posted constitutes your acceptance of the modified terms.

  • These Terms and Conditions are governed by the laws of South Africa. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of South Africa.
